How we run it

Bespoke projects, run by a senior project lead.

Every Vaulted build is a bespoke project — not a programme, not a platform rollout. You get one accountable contact, a clear written plan, a weekly update, and no surprises at go-live.

01

One project lead

A named, senior project lead is accountable from kick-off to handover. One number to call, one person who owns the answer. No account managers, no ticket queues.

02

A clear plan, agreed up front

Your scope and timeline come out of the Scoping Blueprint and are signed off before any build work starts. Nothing moves without your written approval — and any change is priced and dated before it lands.

03

A written weekly update

Every Friday, three short lines: what's done, what's next, anything we're watching. In your inbox, archivable, shareable with partners who aren't in the calls.

04

A 30-minute weekly call

Short, structured, and focused on decisions you need to make. Cancellable once the build is settled — we'd rather give you your time back than fill a slot.

05

Issues raised early

If something looks like it might slip — a CMS quirk, a question that needs a partner's call, a third-party delay — you hear about it the same day, in plain English, with a recommended fix already drafted.

06

Go-live without drama

A written go-live checklist, a tested rollback plan, and 30 days of hyper-care (all severities one tier faster, direct channel to your delivery lead). From day 31, standard support matrix with a 99.5% monthly availability target and Mon–Fri 09:00–17:30 UK hours — published in full at /support.

What you get in writing

Tangible things, not promises.

Every Vaulted client receives the same set of written artefacts. They're how we keep the project honest, and how you keep your partners informed without having to translate.

Why a 3-year rhythm

One year to build. Three years to earn its keep.

Vaulted engagements run as three-year partnerships. That's how long it takes for a bespoke intake tool to fully bed in — through a complete cycle of matters, a regulatory change, and at least one shift in how your firm runs.

Year 1

Build

Blueprint, build, integrate, go-live, and 30 days of close-hand support.

Year 2

Optimise

Quarterly iteration on real usage data — question wording, logic, integrations.

Year 3

Evolve

New modules brought online, workflow refinements, joint planning for what's next.

Why this matters

Most legal-tech projects fail on communication, not technology. Vaulted is run by a project lead with two decades managing complex builds in regulated industries — applied at the scale a private client firm actually needs.
